Privacy policy
Axces BV (“Axces”, “we”, “us”) respects your privacy and processes personal data in accordance with the General Data Protection Regulation (GDPR / AVG). This policy explains what personal data we collect through this website, why, on what legal basis, how long we keep it, and what rights you have.

Personal data we collect
We only collect personal data that you provide to us or that is generated by your use of the site. Depending on how you use the website, this may include:
- Contact form — your name, company, email address, phone number (if provided) and the content of your message.
- Calculation tools (“email me the document”) — the email address you enter to receive a document, together with the inputs and results relevant to that document.
- Live chat — if you start a chat, the messages you send and any email address or details you choose to provide.
- Technical and usage data — because the site is hosted on Vercel and uses Plausible and Vercel Analytics, limited technical data is processed, such as IP address in server logs, pages viewed, referrer, approximate region and device or browser type. Our analytics data is aggregated and collected without cookies (see “Cookies and analytics”).
We do not place document downloads behind an email address, and we do not knowingly collect special categories of personal data.
Purposes and legal bases
We process personal data for the following purposes, each with its legal basis under Article 6 GDPR:
| Purpose | Personal data | Legal basis |
|---|---|---|
| Responding to enquiries via the contact form or live chat | Contact details, message content | Steps prior to a contract / legitimate interest — Art. 6(1)(b)/(f) |
| Sending you a document you requested through a calculation tool | Email address | Performing your request / legitimate interest — Art. 6(1)(b)/(f) |
| Sending you related marketing updates after you provide your email through a tool | Email address | Legitimate interest in business-to-business marketing, and/or consent — Art. 6(1)(f)/(a). You can object or unsubscribe at any time. |
| Measuring and improving website performance (aggregated, cookieless) | Aggregated usage data | Legitimate interest in understanding and improving our website — Art. 6(1)(f) |
| Complying with legal obligations, such as tax and accounting | Relevant data | Legal obligation — Art. 6(1)(c) |
Where we rely on consent, you may withdraw it at any time; this does not affect processing carried out before the withdrawal. Where we rely on legitimate interest, you have the right to object (see “Your rights”). Every marketing email contains an unsubscribe option.
Cookies and analytics
This website is designed to work without tracking cookies.
- Plausible Analytics and Vercel Analytics are privacy-friendly, cookieless analytics tools. They do not set cookies, do not track you across other websites, and collect only aggregated statistics. Because no cookies or comparable tracking technologies are used for analytics, no cookie-consent banner is required for them.
- Live chat (Crisp) — the chat widget does not set cookies while idle. If you choose to start a chat, Crisp may store a limited identifier in your browser so that your conversation can be maintained. This only happens when you actively use the chat.
If we introduce cookies in future that require consent, we will ask for your consent before placing them.
Sharing your data and processors
We do not sell your personal data. We share it only with:
- Service providers (processors) who process data on our behalf under a data
processing agreement, including:
- Microsoft (Microsoft 365 / Outlook) — email and office infrastructure through which your enquiries reach us.
- Crisp — our live chat provider.
- Plausible Analytics — website analytics.
- Vercel — website hosting and analytics.
- Other companies within the Axces group, where this is necessary to respond to your enquiry or for central administration and customer service.
- Authorities or other third parties, where we are legally required to disclose data or where disclosure is necessary to establish, exercise or defend legal claims.
International transfers
Most of our processors are based within the European Economic Area (EEA). Where personal data is processed outside the EEA — for example by hosting or infrastructure providers based in the United States — we ensure an appropriate safeguard is in place, such as an adequacy decision (including the EU–US Data Privacy Framework) or the European Commission's Standard Contractual Clauses.
Retention
We keep personal data no longer than necessary for the purposes for which it was collected:
- Enquiries (contact form, chat) — for as long as needed to handle your request and, where a business relationship follows, for the duration of that relationship.
- Marketing email addresses — until you unsubscribe or object.
- Data we are required to keep by law (for example for tax and accounting) — for the statutory retention period, which in the Netherlands is generally seven years.
- Analytics data — retained only in aggregated, non-identifying form.
Your rights
Under the GDPR you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased;
- restrict or object to processing;
- receive your data in a portable format;
- withdraw consent where processing is based on consent.
To exercise any of these rights, email info@axces.com. To protect your privacy, we may ask you for additional information to confirm your identity before acting on a request. We will respond within one month.
You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) via autoriteitpersoonsgegevens.nl.
Security
We take appropriate technical and organisational measures to protect your personal data against loss, misuse, unauthorised access, disclosure and alteration. If you believe your data is not properly secured or has been misused, please contact us at info@axces.com.
Changes to this policy
We may update this Privacy Policy from time to time. The current version is always available on this page, with the “last updated” date shown at the top.
